Overview
There are some preparations needed in Outlook before migrating to Exchange online.
Procedures
Before migrating, we need to verify your Outlook version is supported and in the event a new profile has to be created, you will need to note any shared mailboxes in your current profile.
Verifying your Outlook version is supported - you must be on Outlook 2016 or newer. Outlook 2013 and below are not supported by Exchange online
- Open Outlook.
- In the top left corner tabs of your screen, go to Outlook - About Outlook
- Product Information on the right should provide your version information.

4. If you are on Outlook 2013 or below on your primary office and home devices please submit a Support Request providing us this information.
Taking a Screenshot of Shared Mailboxes (if any):
- Open Outlook.
- Tools - Accounts (if there are multiple accounts listed here take a screenshot of them)
- Click the Advanced button.
[Accounts screen with Advanced highlighted]
4. Click on Delegates tab.
[Delegates tab selected]
- If there are any Delegates listed, take a screen shot - The "Open these additional mailboxes" information is what you want to capture.
- Paste the screenshot in Word or your preferred program and save this document.
- Delegates, if any, will need to be added back after your email is migrated.
Taking a Screenshot of your Data Files (if any):
If not already in Account Settings do steps 1 to 3:
- Open Outlook.
- Go to the far left column of Outlook.
[Home tab selected in outlook with Helpdesk Archive PST selected]
3. Take one screen shot of data files screen (unless have list that goes off the screen) - You will want to screen shot all the info in this column. Note: If you have saved your archives on the Mac itself, they will be listed in On My Computer.
4. Paste the screenshot in Word or your preferred program and save this document.
5. Click Close.
Data files should not have to be recreated after migration but in the event your profile has to be recreated, collect this information as a precaution.
