Overview
Dictation lets you use speech-to-text to create content. You will need a microphone or a headset, earbuds or use the built-in microphone in your device.
Procedures
Windows OS - Turn Online Speech recognition on:
- Type Settings on the “Type here to search” from the windows taskbar.
- Click Privacy.
- Click Speech.
- Switch the Online speech recognition to on.
- Close the window.
Windows OS - Enabling and Using Dictation in Word 2019 and Outlook 2019
- Open Word 2019 and/or Outlook 2019.
- Click File from the left side of the taskbar at the top.
- Choose Options.
- Click General.
- Scroll down to “Office intelligent services” and check Enable services.
- Click OK.
Activating the Dictation toolbar
- While in Word or Outlook, press the Windows logo key + H
- Start speaking and see the text appear on the screen from your voice.
- Click the Microphone at the top of the dictation toolbar to start speaking again.
- Click the “X” to close the dictation toolbar.
Windows OS - Word 365 Web and Desktop App
- Open Word 365
- Click the Dictate button from the top toolbar and the dictation toolbar open on the side.
- Click the microphone and start speaking.
- Click the microphone button again to stop the dictation.
- Click dictation settings to change to another language, microphone or to enable auto-punctuation (when you say the punctuation name, ex. Comma, a comma is added)
- Choose “Help” from the dictate toolbar to view the Dictate Commands.
- Click the “X” to close the dictation toolbar.
Outlook 365 Desktop App only
NOTE: Outlook 365 (web version does not have a dictation option)
- Start a New Email.
- Click in the body of the message and click the Dictate button from the top toolbar.
- Click the microphone icon from the toolbar that appears at the bottom of the email window and begin speaking.
- Click the microphone button again to stop the dictation.
- Click dictation settings to change to another language, microphone or to enable auto-punctuation (when you say the punctuation name, ex. Comma, a comma is added)
- Choose “Help” from the dictate toolbar to view the Dictate Commands.
- Click the “X” to close the dictation toolbar.
macOS OS - Turn Online Speech recognition on:
- System Preferences - Keyboard - Dictation - On - Enable Dictation
- Open Outlook or Word
- Start a new message/document.
- Click the Microphone on the toolbar.
- OK to allow access.
The Dictate feature is also available in Microsoft OneNote and PowerPoint.
