Overview
Retirement of Cisco WebEx Productivity Tools – Replaced with Cisco WebEx Scheduler for Outlook:
- The Productivity Tools are primarily used for scheduling WebEx meetings within Outlook. This application is going to be retired by Cisco in the near future. It has been replaced with Cisco WebEx Scheduler for Outlook.
- If you do not have Cisco WebEx Scheduler for Outlook, both this application and Cisco WebEx Productivity Tools can be available/installed at the same time to avoid any gap in usage.
- The new WebEx Scheduler for Outlook requires Microsoft Office 2019 or above and the latest WebEx desktop application.
Procedures
Implementation steps for WebEx Scheduler and removing Productivity Tools
- Ensure you have at least Microsoft Office 2019 or 365 for Windows or Office 2019, 2021 or 365 for Mac:
- Outlook for Windows click on File – Office Account – Product Information shows version
- Outlook for Mac – click on Outlook – About Outlook
- If you have 2016 or 2013, this version needs to be uninstalled. The new version can be downloaded and installed from: https://portal.office.com

- Ensure you have the latest Cisco WebEx desktop app installed:
- The icon for the latest Cisco WebEx desktop application looks like this:
(Newest Webex icon) - If you have an older version of the Webex desktop application this should be uninstalled as well as WebEx Teams.
- The new version can be downloaded and installed from: https://rensselaer.webex.com – click on Downloads on the lower left
- It is the first download labeled: Webex app

- Verify you have the Cisco WebEx Scheduler for Outlook:
- Open Outlook calendar and start a New Meeting. On the toolbar, Cisco WebEx Scheduler for Outlook shows as this icon:
(Add Webex Meeting for newest WebEx version) - If you do not have Cisco WebEx Scheduler for Outlook:
- Login to https://rensselaer.webex.com
- Click on Downloads on the lower left
- Under Cisco WebEx Scheduler for Outlook click on Install from Microsoft AppSource
- Click on Get it now
- Login to Microsoft with your work or school account – RPI email address – password
- Follow the prompts to Continue and install
- Open Outlook calendar and start a New Meeting. On the toolbar, Cisco WebEx Scheduler for Outlook shows as this icon:
- If you also have Cisco WebEx Productivity Tools installed, this should be uninstalled.
- Open Outlook calendar and start a New Meeting. On the toolbar:

(Add Webex Meeting for Cisco WebEx Productivity Tools) - If you have this icon below are steps for uninstalling. If you do not have administrator rights on your machine to uninstall this software, please submit a Support Request via https://itssc.rpi.edu
- Uninstall in Windows:
- In Windows search bar type in: Control Panel
- Click on Control Panel app
- Programs – Programs and Features
- Highlight Cisco WebEx Productivity Tools
- Click on Uninstall
- Uninstall Mac:
- Finder – select Cisco WebEx Productivity Tools
- Drag the app to Trash OR
- Select the app and choose File > Move to Trash from the menu bar
- If you’re prompted for a username and password this would be administrator account on your Mac.
- To delete the app after moving it to Trash, choose Finder > Empty Trash

- Open Outlook calendar and start a New Meeting. On the toolbar:
